1. About this policy

This Privacy Policy explains how Jiko New Zealand collects, uses, stores, shares, and protects personal information. It applies when you visit our website, create an account, use the Jiko app, contact us, or interact with our services.

We are based in New Zealand and aim to handle personal information in accordance with the Privacy Act 2020 and the Information Privacy Principles.

2. Personal information we collect

We may collect your name, email address, phone number, business name, role, account login details, billing information, subscription information, messages you send us, and information needed to provide support.

When you use Jiko, we may collect kitchen compliance records entered by you or your authorised users. This may include staff names, task completion records, temperature records, supplier records, delivery records, food served records, timestamps, notes, export history, and related business information.

We may also collect technical information such as device type, browser type, IP address, pages visited, app activity, error logs, authentication events, and general usage information.

3. How we collect information

We collect information directly from you when you create an account, fill in forms, use Jiko, make payments, contact us, or ask for support.

We may also collect information automatically through cookies, analytics tools, hosting logs, authentication tools, payment systems, and other service providers that help us operate Jiko.

4. Why we collect and use information

We collect and use personal information to create and manage accounts, provide the Jiko app, store kitchen compliance records, process payments, send verification emails, provide customer support, improve the service, prevent misuse, protect security, meet legal obligations, and communicate with users about product updates or account matters.

We may use aggregated or de identified information to understand app usage, improve features, troubleshoot issues, and make business decisions. This information does not identify you personally.

5. Payment information

If Jiko offers paid plans, payment details may be collected and processed by a payment provider. We do not intend to store full card numbers on our own systems. We may receive limited billing information such as payment status, plan type, invoice details, and subscription status.

6. Email verification and account messages

We may send emails needed to operate your account, including verification emails, password reset emails, billing emails, security notices, support replies, and important service updates.

If we send marketing emails, you can unsubscribe using the instructions in the email. Account and service emails may still be sent where they are necessary to provide Jiko.

7. Cookies and analytics

Our website and app may use cookies, local storage, or similar technologies to keep you signed in, remember settings, understand usage, measure performance, and improve the service.

You can usually change cookie settings in your browser, but some parts of Jiko may not work properly if cookies or local storage are disabled.

8. Who we share information with

We may share personal information with service providers who help us operate Jiko, including providers for hosting, database storage, authentication, payment processing, email delivery, analytics, backups, error monitoring, and customer support.

We may also share information if required by law, to protect our rights, to investigate security issues, to respond to lawful requests, or as part of a business sale, merger, restructuring, or transfer of assets.

We do not sell personal information.

9. Storage and security

We take reasonable steps to protect personal information from loss, unauthorised access, misuse, disclosure, alteration, and destruction. This may include access controls, authentication, encryption where appropriate, backups, monitoring, and limiting access to people or providers who need it.

No online service can be guaranteed to be completely secure. You are responsible for keeping your login details safe and making sure authorised users in your business use Jiko appropriately.

10. Overseas service providers

Some service providers we use may store or process information outside New Zealand. Where this happens, we take reasonable steps to make sure personal information is protected in a way that is consistent with New Zealand privacy expectations.

11. How long we keep information

We keep personal information for as long as needed to provide Jiko, manage your account, meet legal obligations, resolve disputes, prevent fraud, maintain business records, and enforce our terms.

If you close your account, we may delete or de identify information after a reasonable period, unless we need to keep it for legal, security, accounting, backup, or legitimate business reasons.

12. Accessing and correcting your information

You have the right to ask for access to personal information we hold about you and to ask us to correct it if it is wrong. We may need to verify your identity before responding.

To request access or correction, contact us at [insert privacy email]. We will respond in accordance with the Privacy Act 2020.

13. Your responsibilities when entering other people’s information

If you enter staff names, supplier contacts, or other personal information about someone else into Jiko, you must make sure you have a lawful basis to do so and that the person is aware their information may be stored and used in Jiko for kitchen compliance and business record keeping.

14. Children

Jiko is intended for business use and is not directed at children. You must not create an account for a child or knowingly provide a child’s personal information unless you have lawful authority and it is necessary for legitimate business record keeping.

15. Privacy breaches

If we become aware of a privacy breach that has caused or is likely to cause serious harm, we will take reasonable steps to contain the breach, assess the risk, notify affected people where required, and notify the Office of the Privacy Commissioner where required by the Privacy Act 2020.

16. Complaints
